Better Business, Better Life – Issue 131

Apologies for not getting a newsletter out last week. After a week, 2 weeks ago, when I started the EOS journey with 2 new clients & worked through sessions with 2 existing clients, I was off on a plane to Melbourne & I just never found the time to write the article.

If I explain my last week, you might understand why I didn’t have time to write.

So, I have just got back from a week in Australia, where I was setting up my new 2nd home & session room.

It was a full-on week, but we got there.

On Sunday, when I took possession of the keys, the rooms were completely empty.

On Monday, the apartment furniture was delivered in a flat pack. I was on a few client calls, but in between, I managed to unpack all the crockery, cutlery, towels, etc. & got them all put away.

By Tuesday, whilst I was running a client session in the old session room, there was a man assembling all the flat packs.

On Wednesday, whilst I was running another client session in the old room, the remainder of the furniture arrived for the office/session room.

On Wednesday evening, we (Adam Harris & I) assembled it & moved all the empty boxes & rubbish.

Thursday, we were at our EOS QCE (our EOS Quarterly Collaborative Exchange) & then onto an EO event afterwards where we saw the Blinkist founder talk about his journey… That was a great session 7. There are so many reminders about how a business needs to run.

After that event, we came home & packed away the rest of the rubbish.

On Friday morning, as Adam travelled home to NZ, I ran my first client session in the new Session room.

And on Saturday, I came home to NZ by myself.

In the conversations I have been having with clients, it has become really evident to me that we need to set strong boundaries in business – it’s for the good of the business & it’s for the good of our people.

Because people like to know how they win at a game… And business is really just one big game, isn’t it?

So, I thought I would share with you my thoughts on this.

BUSINESS TOOLS & REAL-LIFE LESSONS

The Game Plan: How Rules Drive Success in Business (and What Happens When They’re Missing)

We all love a good game, right? Whether it’s rugby, tennis, or a friendly round of cricket, there’s a thrill in knowing the rules and working out how to win. Now, imagine turning up to a game with no rules, no scoreboard, and players just running around willy-nilly—total chaos! You’d be thinking, What on earth is going on here?

This isn’t just a sports issue. It’s a business issue, too. A great business is like a well-coached sports team: it has clear rules, defined roles, and measurable goals.

Without these, it’s easy for everyone to guess their way through the game and score points for the other side. Let’s look at how this plays out in the business world and why having clear rules and measurables is a game-changer.

Rules as Guardrails: What Could Go Wrong Without Them?

Think of a sports game with no rules—chaos, right? Players would end up tackling each other out of bounds, the ref would lose the plot, and the crowd wouldn’t know if they were watching rugby or a particularly aggressive dance routine. It’s the same in business. Without clear rules, people end up playing their own version of the game. They make decisions based on what they think is best, which can lead to a few interesting outcomes:

  • Sales starts selling whatever they fancy, making promises no one else can keep.
  • Customer service ends up firefighting because no one agreed on how to handle complaints.
  • Product teams create things that nobody actually asked for (or wants!).

Boundaries, policies, and defined processes keep everyone on the same field, following the same game plan. They make it clear what’s out of bounds so that people can confidently make decisions that align with the company’s values and objectives—no guessing, no hoping for the best.

Measurables: The Ultimate Scoreboard (Because Guessing Isn’t a Strategy)

Now, let’s talk scoreboards. A good scoreboard doesn’t just show the score; it drives action. In sports, players push harder because they can see how close they are to winning (or losing). In business, measurables are the scoreboard, showing everyone exactly where they stand and, more importantly, what they need to do to win.

In EOS, we create weekly and quarterly scorecards, turning big goals into clear measurables. So, instead of waiting for the end-of-year results (which, let’s face it, can be like looking back at a car crash in slow motion), we get early warnings on where things are heading. Each department or person has measurables that show how their efforts contribute to the team’s success. Without this, you end up in a situation where:

  • Marketing thinks they’re doing brilliantly because they’re posting on social media, but sales don’t see any leads.
  • Product development spends months on something nobody actually needs, all because no one tracked customer feedback.
  • The team thinks they’re ‘busy,’ but they’re running in circles, getting nowhere fast.

Examples of Scoreboard Mishaps in Real-Life

Imagine a marketing team with no measurables. They’re cranking out social media posts, feeling great about the likes they’re getting—until someone points out that none of those likes are turning into actual leads.

Or think of a product team that’s buried itself in developing a new feature for six months, only to realise it’s not even close to what customers wanted. With measurables in place, these things don’t get out of hand.

In the EOS approach, we make sure everyone has clear, trackable metrics. Maybe it’s weekly lead generation for the marketing team or customer satisfaction for product development. These measurables are our ‘goalposts.’ They stop us from drifting into fantasy land, thinking we’re winning when we’re just doing busy work.

The Magic of Accountability and Transparency

Rules and measurables also bring accountability and transparency to your business. When every team member knows their role, understands the rules, and has measurables to show their progress, you get a culture where everyone’s on board and accountable. No one’s scratching their head, wondering if they’re on track. They know.

In EOS, we make sure that every team member has visibility into how they’re performing and how it affects everyone else. It’s the difference between hoping you’re helping the team and knowing you are. And if someone’s not hitting their measurables, they know early enough to course-correct before it impacts the whole business. Accountability stops being a scary word and becomes part of the game.

Conclusion: Winning Together (And Loving the Process)

In sports and business, winning doesn’t happen by accident. It’s all about having clear rules, measurable goals, and everyone knowing the score. A team that understands the game plan and can see the score isn’t just working harder—they’re working together. They’re making decisions, playing their role, and aiming for the same goal. When everyone knows the rules and has measurables to guide them, the whole team moves forward together, driving the company towards its biggest wins, one measurable at a time.

So, here’s the play: set clear rules, establish measurables, and make sure everyone’s in on the score. It’s the simple, powerful way to turn a good team into a championship team.

In this section, I introduce the team & our Trusted Partners.

I’d like you guys to meet Ralph Shale. He is an incredible advisor and interim CFO whose expertise has made a difference for so many businesses.

With over 20 years of experience, Ralph has worked with companies like Rocket Lab, raised over $200 million for innovative ventures, and guided leaders through growth and strategy.

He’s a true asset to any business aiming for success.

What makes your approach unique in your industry?

Many people confuse the role of the Chief Financial Officer (CFO) with that of an accountant. While your accountant plays a vital role, a true Corporate CFO builds on this strategically to put you in a stronger position than your competitors through a more rigorous analysis of the numbers and by bringing an outside vantage point to your business.

My priority is to fully understand how a business can create real value for the shareholders/investors, and this is often not reflected in accounting numbers. The CFO Centre provides high-level fractional CFO services to businesses that don’t need/don’t want, or can’t afford a full-time resource.

As the global number 1 provider, we have an unparalleled network of extensive knowledge and trusted partners across the globe.

Personally, I have a background in corporate finance and investment banking, with a strong track record of focusing on high-growth businesses and supporting them with capital (debt and equity) raisings.

Can you share a success story where you made a significant impact for a client?

One of my clients operated a business model that was very capital intensive, so as they grew, they needed to invest in assets to support that growth continually. While growth is considered positive, in this case, it puts the company’s cash resources under pressure. For this client, some specific circumstances made securing funding more challenging.

As a solution, we implemented several creative models that resulted in improved cash flow, supporting the company’s growth plans. In addition, the model employed allowed the customer to shift the sales and marketing focus from the “upfront” profit to the value created through a longer-term relationship with their clients.

Over 18 months, we funded a circa 30% expansion and released over $5m of capital, which has allowed the company to return funds to shareholders and is allowing them to look at expansion opportunities.

What challenges do you see your clients commonly face, and how do you help them overcome these?

There are several issues that commonly come up with clients, but the most important is having an accurate view of the cash requirements of the business. As they often say, “Cash is king”.

During the growth of the business, you end up with more money invested into debtors, inventory, fixed assets, etc., which, if not properly managed, results in serious cash flow issues. Business growth requires accurate reporting, detailed balance sheets and forecasts that match the business strategy – which is where a fractional CFO steps in to own that for you.

So, as a CFO, I work with clients to understand their cash flow position fully, which often leads to improving profits, margins, and business valuation. Making small tweaks across a range of business levers can make a huge difference to the bottom line. Once we understand the business’s cash position, we can proactively look to ensure that the company has the cash resources required to fund the business. We also utilise our close relationships with banks and other partners/funders to make this happen.

What trends are you noticing in your field, and how do you adapt to stay ahead?

The increasing use of digital tools, including AI, will bring change and challenges; it will potentially mean that business owners have more information being thrown at them. So, it is important for managers /owners to have a very strong view on what information really matters, which will also change over time.

As CFOs, one of our roles is to understand how these tools can help within the businesses we work with. How they might change the competitive environment, and how to ensure their own data is protected.

What is the most common mistake you see businesses make, and how can they avoid it?

In my view, it boils down to not focusing on creating long-term sustainable value for the key stakeholders in the business (and ultimately, that will be the owners). Focusing on the wrong key performance indicators (KPIs), thinking short-term rather than strategically planning for the next 3 to 5 years.

How this impacts or shows up in every business is different. However, this is where an experienced CFO adds exceptional value, as they can look at this through an experienced lens within different industries, businesses, etc. – impartially, without the same emotional position of the owners.

FIND OF THE WEEK

This week, I’m excited to share something we’ve been eagerly awaiting for months—our brand-new Hybrid Bikes!

We ordered these beauties back at Easter, & after what felt like forever, they finally arrived this weekend. The reason for the wait? This one was a brand new version – fresh off the ship from China!

We haven’t been home for the last few weeks, so Sunday was D-Day for getting them assembled.

We took them for a quick spin in the domain… And now I know why people look so chilled whilst they’re riding e-bikes—you’re not actually cycling!

When on Eco Mode – you just glide along. Sports Mode is also great. Sports+ was super easy & Boost made Hills a dream. 😁

But that’s not why we bought them…. It can’t have been, as neither of us had ever ridden an e-bike until this Sunday.

We bought them because we weren’t using our normal mountain bikes enough now that we live on a massive hill.

Every time we wanted to ride, we had to put the bikes on the roof racks & take them out.

Now we can just leave directly from the house—yay!

And these bikes are super versatile.

They handle city streets & off-road trails like a dream.

Plus, they’re really comfortable to ride on & we’ve had the doggy carriers fitted, so they can come too. 🐾🐾

We’re not going to get much chance to ride them as we’re off to Europe in 2 weeks, but they’ll be ready for us when we get home.

If you’re considering getting a bike that can be ridden on both roads & trails, I can’t recommend these enough. Frank was a dream to deal with & very knowledgeable about e-bikes.

I’ve added the link if you’re curious to check them out too.
